Description:

This is an Expression of Interest for Employees Only:  You must be a current employee of the District of Saanich to be considered.

Hours of work: various.

Description of work/program: This position will provide administrative support for arts and culture programs and initiatives in Community Services. Working conditions will be indoors, no heavy lifting or significant physical activity required. The majority of work will be done within business hours, although an occasional shift may be scheduled to support public meetings or an event.

Hours will be occasional and vary depending on upcoming projects, events and programming. Some weeks may include opportunities to work a couple of shifts up to 4 hours, where other weeks may not require support. Duties may include:

  • Providing administrative coordination support for small staff team, artists, committee members and contractors with direction from Programmer II.
  • Inputting and organizing applications and files according to established practice.
  • Organizing communications lists and distributing and tracking communications for arts and culture initiatives;
  • Responding to enquiries and requests, liaising with staff, instructors, contractors and the public
  • Preparing forms, notices and other materials as needed.
  • Sourcing, ordering and, acquiring and organizing supplies, tracking inventory.
  • Inputting and maintaining bookings in Active Net and other systems for programs, meetings and events
  • Other related administrative duties as needed.

Ideal candidates will have good communication, organizational, customer services and team skills. The ability to take initiative and follow instructions are key. Good familiarity with Microsoft Office and other Saanich systems to undertake tasks is an asset. Some familiarity and experience supporting events and programs, as well as arts and culture activities and events are beneficial.
